SciOne - Cloud-Based

Submission & Peer-Review Tracking System for scholarly journals and conferences

Core Functionality

SciOne is designed specifically to assist Authors, Editors, and Reviewers. It helps Authors to submit manuscript files and respond to the reviewer comments accordingly. The system aids Editor to manage and review the new submissions, filter & assign the quality manuscripts to Reviewers, and conclude and communicate final decisions of acceptance, rejection, revision or transfer manuscripts. It also facilitates Reviewers to accept/reject the invitation, evaluate the manuscript qualitatively, and submit the final report and confidential note for an editor through the system. After the final decision of Editor-in-Chief, the files are one click away to be assigned to the production department for further processing.

Benefits

  • Easy to use – SciOne provides a user-friendly environment for the authors to submit manuscripts and editors to review and manage submissions.
  • Reviewer’s liberty – Reviewers can accept/decline the review invitation, without even logging in, via secure deep links
  • History:  SciOne stores the email records of each manuscript since day one and enables the editor to track, double-check, and verify the conversations at any time.
  • Status Alert: SciOne will automatically generate e-mail alerts to inform the authors when an article’s status has changed.
  • Digital IDs: SciOne editorial system offers inclusion of the digital IDs (ORCID or LiveDNA id) to attach author’s research work.
  • Ad Hoc Email: SciOne facilitates editor in sending announcements, invitations, author offers, recent developments, and achievements through Ad Hoc emails among authors, reviewers, and editors. The Ad Hoc emails operate smoothly without affecting the routine workflow.
  • Database Searching:  The editor can also search into the manuscript database of SciOne via Article ID, Title of the article,  Author’s last name, or Email address to retrieve further information as required.
  • Reminders: SciOne helps the editor to generate the list of overdue authors, reviewers, and editors. The editor can also edit the parameters before running the report and once generated, it can be used to send reminders to one or all of the sorted names. These reminder letters can also be personalized if desired.
  • Duplicate Submission: It assists the editor to identify and remove the duplicate submissions upon initial receipt.
  • Invite Recommended Reviewers: SciOne aids editors to invite the author’s recommended reviewers by one-click reviewer invitation letter.
  • Smooth Manuscript Exchange: It facilitates editors in sending revisions to authors to fix technical problems in the article and allows the author to replace the file after revision. This also saves the editor’s time to compare the old and the new versions of the manuscript.

Workflow Guide

In general, the workflow is inclusive of the following steps:

  • Upon submission, the submitted manuscripts are categorized by the system into either New submissions (requiring initial screening or peer review) or Revised Manuscript (requiring another revisions or acceptance)
  • In case of new submission; the manuscript is sent to Academic Editor for Initial Screening and then send back to the author in case of technical problems such as style,  language,  etc.  problems.
  • In case of revised manuscript; the article is assigned to Copy Editor for checking and further processing accordingly.
  • After Initial Screening the manuscript will either be assigned to yourself (if  you  are  the  only editor of the journal) or another Academic Editor to invite the reviewers for the screened manuscripts and assign the manuscript accordingly for Peer-Review.
  • On completion of the review process the article is assigned to Copy Editor first to double-check before final decision by Editor-in-Chief.
  • In case of further changes in accepted manuscripts, the Copy Editor can download the last updated manuscript from the system and after changes upload and send the revised version to the Editor-in-Chief of the submitted journal for final decision and comments.
  • Upon receiving the final decision letter of Editor-in-Chief, the Academic Editor will notify the author by changing the status of manuscript accordingly.
  • In case of acceptance; the Academic Editor assigns the final manuscript  to the Production Editor for further processing.
  • In case of Rejection; the Academic Editor updates the closing remarks in the SciOne database and inform the author by changing the status of manuscript accordingly.
